IDX.Marketing CRM Setup & Operations Agreement

This Engagement Letter (“Agreement”) governs your continued access and use of the IDX.Marketing platform ("Digital Assistant") and is automatically accepted with each monthly payment.

By submitting payment, the Client (“you”) agrees to the terms below.

1. Purpose

This Agreement outlines the terms for your IDX.Marketing CRM setup and selected operational configurations.
Each operation is a one-time service, designed to set up and optimize your CRM system for business use — including automations, invoicing, forms, products, and related workflows.

This Agreement does not include ongoing monthly CRM or AI subscriptions unless separately contracted.


2. What’s Included

You may select up to five (5) setup operations from the list below. Each operation includes full integration into your CRM system and post-setup testing to confirm functionality.

CRM Setup & Operations Menu

  • CRM + One Automation Flow — $100

    • 1 flow triggered by 1 event, up to 5 steps

  • CRM + Invoice Automation — $100

    • Automated invoice sending, follow-ups, and reminders

  • CRM + Tax Settings for Invoices — $100

    • One-time setup for tax zones and rules

  • CRM + Contract Automation Setup — $100

    • Integration of a client-provided contract file into CRM workflow

  • CRM + Form Creation — $200 per form

    • Custom form design, linked to automation or pipeline

  • CRM + Product/Service Upload — $100

    • Upload up to 10 items for store, quotes, or invoices

  • CRM + Email Templates — $100

    • Two short nurture or confirmation email templates

  • CRM + Calendar Setup — $100

    • Calendar configuration with reminders and availability settings

  • CRM + Custom Fields Setup — $100

    • Creation of up to 5 custom fields for detailed forms or segmentation

  • CRM + Client Pipeline Setup — $100

    • Visual sales/client flow setup with automation link

Each setup includes integration into your existing CRM environment and testing to ensure operational readiness.


3. Definition of “1 Automation”

One Automation equals one flow triggered by a single event, with up to five (5) steps.

✅ Includes:

  • One trigger (e.g., form submitted, appointment booked, stage changed)

  • Up to five (5) actions such as:

    • Send Email or SMS

    • Move to pipeline stage

    • Assign to user

    • Add tag

    • Wait time or reminder

  • Basic personalization (e.g., name, business info)

  • Integration with CRM components (calendar, forms, pipelines, etc.)

🚫 Not Included:

  • Writing new contracts

  • Writing email copy longer than 3 sentences

  • Creating new products, tags, forms, or calendars beyond scope

  • Building funnels or websites

  • Conditional or advanced logic (use of “if/else” or filters) — billed separately


4. Payment Terms

  • Each operation is billed individually upon agreement.

  • Payment is due in full before setup begins.

  • All payments are non-refundable once work has started.

  • Additional operations beyond the selected five (5) will be quoted separately.


5. What’s Not Included

This one-time setup does not include:

  • Ongoing CRM subscription or monthly access fees

  • Edits or troubleshooting after delivery

  • New automation development outside agreed operations

  • Branding, design, or funnel work (except for included form design)

  • Business strategy, copywriting, or coaching sessions

Any of the above may be quoted separately if requested.


6. Acceptable Use Policy

You agree to:

  • Use the CRM and automations lawfully and respectfully.

  • Avoid spam, unsolicited messages, or misleading content.

  • Keep login credentials secure and limited to authorized users.

IDX.Marketing may pause or terminate access to setup materials if usage violates these terms.


7. Data Ownership & Responsibility

  • You own all data created or uploaded to your CRM account.

  • IDX.Marketing is not responsible for data loss, user errors, or misuse after setup delivery.

  • Testing is conducted before delivery, and acceptance confirms completion.


8. Limitation of Liability

IDX.Marketing is not liable for:

  • Third-party service interruptions (email, phone, SMS, or payment systems)

  • Misuse of CRM functions or automation errors after delivery

  • Communication or delivery failures caused by external systems

Total liability is limited to the fees paid for the specific setup service.


9. Support

Basic support is available via our online ticket system during the setup phase.
Post-delivery changes, troubleshooting, or additions will be quoted separately.


10. Governing Law and Jurisdiction

This Agreement is governed by the laws of the State of Florida, USA.
Any disputes shall be resolved in the courts of Orlando or Orange County, Florida.


Agreement & Acceptance

By submitting payment, you acknowledge and agree that:

  • Each operation is a one-time setup service.

  • No ongoing subscription or recurring fees are included.

  • Post-delivery revisions or edits will be quoted separately.

  • All deliverables are final once accepted and tested.
